Email Customization Guide

The product called eSignLive™ provides a complete e-signature platform for the Web, including preparing, distributing, reviewing, signing, and downloading documents.

Owners of eSignLive Accounts can fully customize all emails sent by the system to end-users and administrators. Using eSignLive variables, the Subject, Body, and To fields of each email template can be customized for each language supported by eSignLive.

NOTE: If you are the owner of a SaaS account, customizing your email templates must be done with help from Technical Support (support@eSignLive.com; 1-855-MYESIGN).

This rest of this document discusses the following aspects of customizing emails:

Plain-Text and HTML Formats

Emails can be sent in either plain-text or HTML format.

For HTML emails, eSignLive can either host images or include external references to resources. If you use external references, your email body must contain valid URL links that point to servers in your organization.

An HTML email's direct links to your transactions and documents should work in the following email clients:

  • Gmail, Yahoo (no rounded corners)
  • iOS Mail Client
  • Hotmail, Outlook.com
  • Microsoft Outlook 2000 to 2013
  • Android 2.3+ Mail Client
  • Gmail Mobile App
  • Windows Phone 7
  • Lotus Notes 8+
  • BlackBerry 5+
  • AOL Mail
  • Outlook Web App / Office 365 (no rounded corners; only the text is clickable)

Three Ways of Sending Emails

Emails can be sent from eSignLive in three alternate ways:

  • Using eSignLive's Email Server: This is the default method. It requires no changes to your account.
  • Using eSignLive's Email Server with DKIM Signing (DKIM = Domain Keys Identified Mail). The advantage of this method is its ability to configure the From field to be the customer's email address. Additional fees apply. For details, contact Technical Support (support@esignlive.com; 1-855-MYESIGN).
  • Using a Custom SMTP Server: In this case, the customer must specify the following information:

    NOTE: If a Custom SMTP Server is used, all email bounce-backs must be handled by the customer

Alphabetical List of Email Templates

eSignLive’s email templates include the following:

NOTE: All email templates are enabled by default, but they can be selectively disabled.

email.account.invitation

This template sends an email that invites a sender to join an existing eSignLive account. The recipient will not be able to join if they are already a sender on another account.

The following is the default English email.account.invitation template used by eSignLive:

email.activate

This template — also known as the invitation email — invites recipients to review or sign a package.

If a package is configured to use in-order signing, only the first signer will receive an invitation when the package is initially sent. The second and following signers will receive an invitation email when the previous signer has completed their part of the process.

What follows is the default English email.activate template used by eSignLive.

email.attachment.rejected

This template sends an email to a signer who uploaded a document attachment that was subsequently rejected by the package owner. The owner can provide an explanation for the signer.

email.bounced

This template sends an email notification when an email sent to a signer was unable to reach its destination because the signer's email address was invalid. By default, the email is sent to the package owner.

NOTE: While email services must be configured via a generic SMTP server or Amazon SES, only the latter offers bounce-back functionality.

What follows is the default English email.bounced template used by eSignLive.

email.bulk.send.complete

This template sends an email to the package owner once the system has completed sending all packages for signing via a Bulk Sending process..

What follows is the default English email.bulk.send.complete template used by eSignLive.

email.bulk.send.error

This template sends an email to the package owner to inform them that a Bulk Sending process failed to send at least one package for signing.

What follows is the default English email.bulk.send.error template used by eSignLive.

email.callbackFailure

This template sends email when eSignLive fails to communicate with the Callback Server.

What follows is the default English email.callbackFailure template used by eSignLive.

email.complaint

This template sends an email notification when a sent email results in a spam email complaint.

NOTE: While email services must be configured via a generic SMTP server or Amazon SES, only the latter offers bounce-back functionality.

email.complete

This template sends email to the package owner and to all signers once all signers have completed the signing process.

What follows is the default English email.complete template used by eSignLive.

email.decline

This template sends an email to the package owner after a signer declines to sign a package.

What follows is the default English email.decline template used by eSignLive.

email.evidence.summary

This template sends an email to the package owner if they requested an Electronic Evidence Summary for a package, attaching the summary to the email.

NOTE: Evidence Summary documents are highly customizable. You can: (1) customize the logo image; (2) customize the text of every label (title, footer, section titles, and fields); (3) customize the Evidence Summary’s filename; (4) hide/show any of the following elements: logo, title, footer; (5) hide/show any of the following sections: Transaction, Sender, Document, Recipients, Audit Trail. What follows is the default English email.evidence.summary template used by eSignLive.

email.expire

This template sends an email to the package owner when their package expires.

What follows is the default English email.expire template used by eSignLive.

email.expire.warning

Th is template sends email to signers five days before a package's expiry date if they have not yet finished signing.

What follows is the default English email.expire.warning template used by eSignLive.

email.forgot.password

This template sends an email to a user who has forgotten or lost their account password.

What follows is the default English email.forgot.password template used by eSignLive.

email.kba.failure

This template sends an email to the package owner when a signer fails in their attempt to authenticate themselves through KBA (Knowledge Based Authentication).

What follows is the default English email.kba.failure template used by eSignLive.

email.lock.signer

This template sends an email to the package owner when a signer has been locked out due to too many failed authentication attempts.

email.login.lockout

This template sends an email to any user who has been locked out due to too many failed login attempts.

What follows is the default English email.login.lockout template used by eSignLive.

email.notify

This template re-sends an email invitation to review or sign a package after the initial invitation bounced.

What follows is the default English email.notify template used by eSignLive.

email.notify.mobile

This template sends a signer an email with a link that can be used to capture their signature on a mobile device.

What follows is the default English email.notify.mobile template used by eSignLive.

email.oauthFailure

This template sends an email to a sender when they fail in their attempt to authenticate themselves through OAuth.

email.ofac.event

This template sends an email to a package owner, notifying them that a signer from an OFAC-blacklisted country has tried to sign their package.

What follows is the default English email.ofac.event template used by eSignLive.

email.ooto (Out of the Office)

This template sends an email to the package owner, notifying them that an email sent to a signer didn’t reach its intended recipient because the signer had configured an out-of-the-office email response.

email.opt.out

This template sends an email to the package owner after a signer opts out of signing a package electronically.

What follows is the default English email.opt.out template used by eSignLive.

email.ready.to.complete

This template sends an email to a package owner when all documents have been signed, and a package is ready to be marked as Complete.

email.reassign.newSigner

This template sends an email to a new signer, notifying them that they have been reassigned the role of another signer in a package.

What follows is the default English email.reassign.newSigner template used by eSignLive.

email.reassign.sender

This template sends an email to a package owner, notifying them that one of the signers has reassigned their role in the package to another signer.

email.remind.signer

This template sends an email to remind a signer that they have documents ready to be signed.

What follows is the default English email.remind.signer template used by eSignLive.

email.signup

This template sends an email to the owner of a new account, notifying them that they have successfully signed up for a Free Trial or Professional Edition SaaS account.

email.unlock.signer

This template sends an email to a signer, notifying them that they have been unlocked.
